L’Alliance New York is internationally known for offering the largest selection of fully-immersive French language courses for students aged one to 101, and for its renowned cultural programming including the annual Bastille Day celebration that takes place on New York's famed Madison Avenue, attracting over 50,000 visitors each year; the Crossing The Line arts and performance festival that engages NYC cultural institutions in bringing dynamic international artists to audiences; Animation First, the biggest animation festival in the U.S; and the Comic Arts Fest, celebrating the intersection of American and francophone comic arts. 


Position Overview
L’Alliance New York is seeking a Special Events Coordinator to join its passionate team. Reporting to the Special Events Manager, the Coordinator will support the Special Events team in coordinating the planning, content, and logistics of L’Alliance New York’s special events in support of the Development Department’s mission to raise funds and cultivate relationships with patrons. This position plays a key role in planning and executing special events while supporting the organization’s broader fundraising efforts.

Key Responsibilities
  • Assist the Special Events team with the following events: Gala de L’Alliance New York, Members Holiday Party, Art de Vivre Benefit, Bastille Day Street Fair, L’Art du Vin series, Young Patrons Printemps Party, Corporate Members Party, and others as assigned.
  • Brainstorm and assist with creating presentations and communication materials for events and special projects.
  • Research and track auction donations. Support relationships with auction donors and winners before and after events.
  • Manage the prospect list of potential partners and solicitation outreach.
  • Manage guest lists and coordinate the preparation of materials for seated events.
  • Compile content and coordinate with the Design department on the production of gala programs and other event publications.
  • Create an effective project management system to oversee the end-to-end event process from planning through delivery.
  • Support on-site event execution and coordination, including handling logistics, managing event lists, and working with external vendors.
  • Remain flexible to support the Special Events team, including occasional evenings and weekends as needed.

  • You are comfortable working in person Monday through Friday (7 hours per day) and available for occasional evening events.
Experience & Qualifications
  • Must hold valid U.S. work authorization. 
  • Previous experience in event coordination, administration, or a similar support role is required.
  • Experience in an educational, cultural, or nonprofit environment is a plus.
  • Demonstrated ability to manage multiple priorities and meet deadlines.
  • Strong organizational and problem-solving skills.
  • Proven ability to work both independently and collaboratively within a team.
  • Comfort working with administrative systems and maintaining accurate documentation.
